Our client is seeking an experienced Executive Assistant to join their business administration team. The Executive Assistant (EA) is responsible for providing professional, responsive and confidential support to an Executive Director (ED). This role provides a frontline face to the Executive's customers/clients, building effective working relationships with both stakeholders and customers, and liaising with the CEO office, Company Secretariat and Senior Executives.

About the role:

  • Running quality systems and process that streamline the effective running of the business and expose risks and opportunities i.e. Leadership Scorecard, My Dashboard, One Note Meeting Notes, Master Meeting List, email management and time
  • Email and meeting support to minimise low importance emails and meetings
  • Priority Task Management to assist ED to stay on top of the important and urgent items
  • Continual improvement of technology tools and diary management to ensure ED's time is as effective and productive as possible. Time should be closely aligned to Strategic activity 40%, Operational activity 30%, Team and coaching activity 30%
  • Effective prioritisation of meetings and networking, utilisation of Master Meeting list
  • People Management Systems - 1:1, scorecards and development plans
  • Key Events Program - Assist in the preparation of events, for example Vantage, Mobile World Congress or speaking events
  • Assist with making the complex simple in the operating rhythm
  • Forward planning of ED's information requirements for meetings / presentations
  • Oversee the management of full schedule including receiving clients and visitors, arranging appointments, meetings and events with internal and external stakeholders and complex diary and travel management in consultation with the executive

About you:

  • Strong reputation in providing professional, responsive administrative support to executive-level stakeholders
  • Occupants would typically have 8 years' experience as a Personal/Executive assistant or relevant Business-related skills within a corporate environment
  • Demonstrated ability to work accurately and maintain high levels of productivity without close supervision
  • Applying sound knowledge of the business, stakeholders (internal and external), and operating environment in delivering services involving:
  • Complex diary, schedule and travel management
  • Various types of correspondence and message management
  • Preparation and records management of commercially sensitive and legally privileged material
  • Proficient use of relevant software and systems, including Microsoft Office suite
  • Previous experience liaising at CEO and Board level would be highly regarded
