- Coordinate project governance, scheduling, communications, and administration to support the successful delivery of a large-scale enterprise transformation across multiple workstreams.
About the role:
- The successful candidate will mainly perform project coordination, administration, and communications. This role catalyses and supports timely and quality deliverable outcomes for project / program governance and workstreams delivery.
- The high-performing Project Analyst will work closely with the Senior Project Manager, Workstream Leads, core project team and Business Unit stakeholders to perform scheduling activities, coordinate workshops, assist in driving workstreams activities, assist in driving accountability for deliverables, stakeholder engagement & communications, administration and reporting across the project lifecycle.
- The role will combine sharp administration discipline, experienced scheduling capability, and coordination capability with strong stakeholder acuity. The successful person is adept at navigating stakeholder complexities, solving complex scheduling problems and negotiating meeting logistics.
Selection Criteria
Essential
- Demonstrated experience in project coordination, project administration, project officer, PMO support or similar roles within complex business, technology, or transformation environments.
- Strong administration discipline, including the ability to maintain schedules, registers, meeting records, document libraries, action logs, dashboards, and reporting inputs accurately and with minimal rework.
- Excellent meeting coordination and documentation capability, including agenda preparation, pre-read collation, high-quality minutes, action capture and proactive follow-up of owners and due dates.
- Experience using, administering, or quickly learning collaboration and delivery tools such as SharePoint, Jira and Confluence, including access coordination, artefact organisation and workflow hygiene.
- Exceptional attention to detail and written communication, with the ability to produce concise, accurate and decision-ready materials under time pressure.
- Strong stakeholder coordination skills, including confidence to chase information, clarify ambiguity and escalate blockers while remaining professional, discreet and support oriented.
- Ability to process and retain high volumes of detailed project/program information, sustain delivery rhythm and maintain quality across multiple concurrent workstreams.
- Maturity to operate within role boundaries supports delivery discipline, governance and follow-through without seeking to act as the project manager or override delivery owners.
Desirable
- Experience supporting enterprise system replacement, CRM, Salesforce, Oracle migration, integration, data migration, testing, or digital transformation initiatives.
- Exposure to vendor governance, procurement administration, contract administration, or onboarding/offboarding processes.
- Experience supporting business case, board paper, steering committee, stage gate, or governance pack preparation.
- Familiarity with PMBOK, PRINCE2, Agile, Safe or hybrid delivery environments.
- Experience working with Product Owners, Business Analysts, Process Analysts, IT architecture, integration, testing, data, or organisational change teams.
