About the Business
Our client is a highly successful and growing private wealth business with an outstanding reputation for delivering high-quality outcomes for its clients.
They are looking for an experienced Project Administrator to join their team and provide essential administrative, coordination and project support across a range of business and technology initiatives.
This is a great opportunity for someone with 2–3 years’ experience in project administration, project coordination, wealth management or financial services who enjoys taking ownership, solving problems and keeping things moving.
About the Role
As a Project Administrator, you’ll work closely with project stakeholders and the broader business to ensure projects are well organised, documented and progressing effectively.
Your responsibilities will include:
- Providing administrative and coordination support across multiple projects
- Maintaining project plans, action registers, timelines and documentation
- Coordinating meetings, workshops and project activities
- Tracking actions, deliverables, dependencies and key milestones
- Preparing agendas, minutes, status updates and project reports
- Following up stakeholders to ensure actions and deliverables are completed
- Maintaining accurate project and business documentation
- Supporting process improvement and implementation activities
- Assisting with data, reporting and information gathering
- Working with internal teams and external providers to resolve issues
- Using platforms including Netwealth and DASH
- Supporting systems and documentation using IPS or similar advice/documentation software
- Identifying issues early and proactively working through practical solutions
About You
We are looking for a proactive, highly organised and detail-focused Project Administrator who enjoys being the person who keeps things on track.
Ideally, you will have:
- 2–3 years’ experience in project administration, project coordination or a similar role
- Experience within private wealth, financial planning, wealth management or financial services
- Familiarity with Netwealth and DASH
- Experience with IPS or similar documentation/advice software is highly desirable
- Strong administration, organisation and documentation skills
- Excellent attention to detail
- Strong communication and stakeholder management skills
- The ability to manage multiple priorities and deadlines
- A proactive, can-do attitude
- Strong problem-solving skills and a practical approach
- Confidence to take ownership and follow things through
- The ability to work autonomously while contributing positively to a high-performing team
