Our government client is seeking to engage an Executive Assistant

Your responsibilities would include:

  • Managing administrative arrangements for the Assistant Secretary and their branch
  • Diary management (managing conflicts/competing deadlines)
  • Email monitoring/management
  • Being the first point of contact for information, guidance and problem solving
  • Coordinating and tracking ministerial and secretary workflow
  • Task prioritisation and tracking (track reports, correspondence, input)
  • Monitoring telephones for the divisional executive group
  • Arranging meetings (meeting room booking, tea, coffee and water if needed and escorting external stakeholders)
  • Managing the flow of information and correspondence between Assistant Secretaries
  • Record keeping/filing
  • Management of confidential and sensitive information
  • Word processing, intermediate spreadsheet work and database input/management
  • Liaising with senior executive officers, departmental contacts and ministers' offices
  • Providing support to other Assistant Secretaries and Executive Assistants of the division as required (ensuring core business hours are covered, answering other executive and EA's phones, effective message-taking and delivery)
  • Managing/reconciling branch finances as required by the Assistant Secretary
  • Proactively managing the quality of administrative support provided (for example, ensuring meeting papers are available, checking and questioning arrangements where necessary).
